USUCCEED USER GUIDES FOR FACULTY


uSucceed is an early alert, retention and advising system. Instructors and advisors can use the tools within uSucceed to:
  • keep track of students who might be performing poorly academically.
  • send kudos to students who are excelling.
  • post office hours and schedule appointments with students.
  • keep meeting minutes from those appointments.

uSucceed Minimum Requirements for Faculty:

  • Set up faculty profile:
    Post office hours, location and campus contact information.
  • Complete surveys: 
    Complete an initial attendance survey and two progress surveys throughout the term. Raise flags to notify students with academic or attendance concerns. The flags notify the student’s Faculty Advisor and/or SAFS staff for follow up.

Additional Requirements for Faculty Advisors:

  • Manage advisee flags 
    Advisors need to reach out (email, phone, meeting) to their advisees when a flag is raised. Once meaningful outreach is made, advisors should document the meaningful actions taken with their advisees in uSucceed before clearing the flag.
  • Maintain advising notes
    Advisees should add notes to their advisee records when meaningful outreach occurs so that the student success network is able to also view the notes by the advisor.

General Faculty Guidelines and FAQ:

  • If a flag is raised on my advisee, do I reach out to the advisee even if we don’t know each other personally?
    • Yes.This is a good time to introduce yourself to your advisee and offer guidance or support.
  • What if the behavior that resulted in a flag is a pattern? (For example, the student is a senior who has chronic attendance problems.)  
    • If and how to respond is up to you. Your outreach might make a difference, even if the problem is habitual.
  • What do I do if the same type of flag has been raised twice on a student by the same faculty member in a short period of time? Do I contact the student again?  
    • Not if either you or the faculty member has started a dialog with the student. It is helpful if the “flag-raiser” documents some details. If no details were provided, contacting the person who raised the flag could provide some clarity.
  • If I see that another person is handling the flag, do I need to respond too?
    • Probably not. Informing the student that we are here to help can be positive, but we also do not want to bombard the student with flags and responses. However if you have a relationship with the student, your support may be welcomed.
  • What if the flag is about something minor, which I think should be handled by the faculty member raising it?
    • Exercise your judgment here. Sometimes a supportive outreach from an Faculty Advisor is what the student needs. 
  • Do I need to respond to kudos?
    • No. Only do so if you have time and would like to add to the positive reinforcement. 
  • How do I record an outreach on a raised flag?
    • If the student is working to resolve the issue but you want to record the discussion, it’s better to record a note on the individual flag vs. entering a general note.  In order to do this you need complete the following steps:
      • Locate the student and open the student record 
      • Click on the Tracking tab
      • Locate the flag that you would like to add on a comment
      • Hover the mouse over the flag icon and wait for the flag summary box to appear  
      • Click on Comment at the bottom of the flag summary box
  • Who should be clearing a raised flag?
    • The Faculty Advisor is responsible for resolving (clearing) flags for students not on academic probation. The Academic Counselor in Student Academic Services is responsible for resolving (clearing) flags for all students on academic probation or for student who have the In Danger of Failing flag raised.
  • How do I determine if a student is on academic probation?
    • Click on the student name to display the Student Folder. 
    • Click on the Info tab.
    • Scroll down to Term Status and view “Academic Standing”.
  • What do I do if I need assistance resolving (clearing) a flag or reaching a student?
    • If you are having trouble resolving a flag or communicating with an advisee, Raise an Academic Counselor/Advisor Referral for an Academic Counselor/Advisor assistance.
